Collections Practice Manager

Who we are:

What you’ll do:

  • Manage the Collection Staff in the day-to-day operation in the collection of delinquent assessments and ensure collection process is completed within 3-5 business days.
  • Provide Associations and Property Managers with detailed information regarding accounts pending in collection and the status of collection accounts.
  • Generate Daily Reports to update status of collection accounts and assign tasks to team members based on their strengths and abilities. Proof all work product by Collection Staff on a daily basis.
  • Monitor Daily Mail and Collections Mailbox to review emails from Attorneys, Property Managers and Unit Owners.
  • Field telephone calls from Attorneys, Property Managers, Bookkeepers, and delinquent unit owners regarding collection accounts.
  • Provide Collection Status Reports to Board Members and Property Managers upon request. 
  • Attend Association Board meetings to discuss collection process when requested.
  • Attend Trade shows when requested.
  • Review title searches.
  • Handle billing and serve as the liaison between Accounting Department and Collection Department.
  • Oversee Small Claims Litigation cases.
  • Provide support as needed to fill department vacancies.
  • Evaluate and implement new procedures.
  • Other duties as assigned.

Who you are:

  • Someone with the following education, job experience and technical skills:
    • A minimum of seven years collections experience, including managerial experience (prior supervisory experience required), preferably in a law firm or other professional services firm.
    • Bachelor’s degree or commensurate professional experience.
    • Knowledge of industry-specific procedures, and prior experience in real estate or with title company, condominium or community interest association, or property management company.
    • Ability to communicate effectively in oral and written form and provide information with courtesy and fact while safeguarding confidentiality.
    • Strong fundamental mathematics skills for application to areas such as invoicing, calculating delinquent accounts and applying payments to past due accounts.
    • Small claims litigation experience.
    • Knowledge of E-filing procedures at the local, state, and federal level.
    • Proficient in Microsoft Outlook Classic, Microsoft Word and Excel 365, and Tungsten Power PDF or similar PDF program.
    • Proficient in Ready Collect software preferred, or other collection software systems pertaining to practice area.
  • A guiding and motivating team leader who can:
    • Achieve objectives that align with department goals.Increase number of Community Association clients.Increase department accuracy and productivity.
    • Assist Collections Staff and support their professional development.
  • Someone with proven interpersonal, managerial and leadership skills who is professional in appearance and demeanor and possesses an exceptional, professional, positive, client service-oriented attitude.

What we give you:

  • Market-competitive compensation of $85,000-$100,000 plus bonus. Consistent with applicable law, compensation will be contingent of the applicant’s skills, qualifications and experience relative to the position’s requirements.

Manager of Marketing & Communications

What you’ll do:

  • Assist with implementing and supporting the Firm’s marketing plans, as directed by the Director of Business Development & Marketing and the Business Development & Marketing Committee.
  • Develop and manage the writing, editing, design and production processes for Firm, practice area and attorney business development/marketing efforts.
  • Manage/shepherd the Firm’s external and internal newsletters to elevate the Firm’s branding and market positioning through external messaging and internal education and support and refreshing distribution lists for content management system.
  • Manage award nomination processes, including drafting the nominations as appropriate, creating press release and related LinkedIn post announcing winners, and creating any congratulatory print/digital ad for the respective publications.
  • Manage, maintain and proactively oversee all areas of the website, including revitalizing page content, facilitating and launching new modules and overseeing functionality, search engine optimization and site analysis.
  • Facilitate all communications related to new attorneys or elevations, including biography, photo, press release, digital announcement, LinkedIn, Crain’s People on the Move and internal Q&A opportunities.
  • Facilitate advertising by attorneys/practice areas (e.g., ads and sponsorships).
  • Manage all aspects of photography, including headshots, environmental photos, still photography and event photos for use in attorney biographies, advertising, internal/external newsletters, etc.
  • Expedite all social media efforts regarding coaching, training, policy updates and graphics, either via presentations or in written form.
  • Manage and facilitate attorney directories and rating services with both vendors and attorneys for organizations such as Chambers, Sullivan’s, Leading Lawyers and Super Lawyers, including contract review for features and benefits.
  • Strategize, develop and execute event plans with key stakeholders – e.g., client seminars, receptions and events; speaking opportunities for attorneys; and Firm-level events such as Women Helping Women.
  • Handle/develop media relations within Firm guidelines.
  • Build content management, including facilitating attorney-written articles, columns and chapters with publishers; garner client testimonials; and work with attorneys on Chuhak Chats & Tecson Tips.
  • Assist with new employee onboarding, including website bio drafting and photos and conducting Marketing orientation meetings for new hires.
  • Oversee and reconcile attorney marketing budgets.
  • Draft and revise procedures for Marketing’s Standards & Procedures Manual.
  • Mentor/coach Marketing Coordinator and Interns as assigned.
  • Other duties as assigned.

Who you are:

  • Someone with the following education, job experience and technical skills:
    • Bachelor’s degree required in Marketing, Communications, Journalism, Public Relations or related field; Master’s degree preferred.
    • Four to six years of increasingly substantial marketing experience in the legal industry, other professional services organization or related industry.
    • Experience with data management and analytics.
    • Proficient in Microsoft 365 including Outlook, Word, Excel and Power Point.
    • Knowledgeable of Tungsten PDF, or similar program.
    • Proficient in working with website developer/host, plus function, SEO and statistical evaluation.
    • Extensive experience with social media marketing; photography shoots; ARDC advertising rules; project budgets; vendor/printer relationships/negotiations; freelance writer/graphic designer relationships; and branding.
    • Proven ability to independently develop and execute marketing strategies.
    • Experience with automation platforms such as MailChimp and Green Envelope, including design and distribution process; and familiarity with Canva.
  • A person with the following knowledge, skills and abilities:
    • Mastery of the English language, both oral and written, and exceptional writing, editing and proofreading skills (Associated Press Style) with an ability to “turn a phrase.”
    • A positive, flexible and proactive self-starter who has strong attention-to-detail, problem solving, social and interpersonal skills and can work well both independently and within a team.
    • Adept at drafting and posting on LinkedIn, including using graphics and hashtags.
    • Ability to think through all aspects of planning and to develop, prioritize, organize, manage and execute multiple projects and tasks in a concurrent and timely manner.
    • Ability to lift/move boxes and other materials up to 25 lbs.
  • An effective communicator who is able to work collaboratively with attorneys and other team members to ensure high quality deliverables.
  • A discerning, service-oriented individual who demonstrates professionalism in attitude and appearance, promotes inclusivity and maintains perspective and objectivity.

What we give you:

  • Market-competitive compensation of $100,000-$120,000 plus bonus. Consistent with applicable law, compensation will be contingent of the applicant’s skills, qualifications and experience relative to the position’s requirements.
