Junior Legal Assistant/Collections Assistant Administrator

Who we are:

What you’ll do:

  • Provide administrative and executive support for Attorney and Practice Manager in our Condominium and Common Interest Community Association Practice. 
    • Process new client/matter forms for opening files and conflicts checks.
    • Order and review routine title searches.
    • Prepare and process routine Collection Notices to unit owners including electronic recording of liens.
    • Prepare and process miscellaneous letters to unit owners and clients.
    • Review incoming mail including scanning and saving documents in the ReadyCOLLECT document management system.
    • Assist with foreclosure cases by monitoring the various steps in the foreclosure process.
    • Access and obtain on-line case information.
    • Interact with property managers, outside counsel and delinquent unit owners.
    • Prepare eviction lawsuits including post judgment collection proceedings, i.e., evictions, citations to discover assets and garnishments proceedings.
    • Check status of pending bankruptcy cases.
    • Prepare Proof of Claims and Motions in pending bankruptcy cases.

Who you are:

  • Someone with 1-3 years of legal secretarial/assistant experience in Small Claims/Civil cases.  Previous experience in one of the following environments required:  law firm or professional services organization, i.e., real estate, title company, condominium or community management.
  • A person with knowledge of:
  • e-filing in Odyssey and i2File.
  • e-access for electronic orders and viewing court information for cases in Cook, DuPage, Kane, Lake, McHenry, and Will Counties.
  • Working knowledge of FDCPA preferred.
  • A person with strong fundamental mathematics skills for application to areas such as invoicing, calculating delinquent accounts and applying payments to past due accounts.
  • A person proficient in Microsoft Office Suite programs such as Word, Excel and Outlook; PDF programs such as Tungsten (formerly Kofax) PowerPDF or Adobe, and knowledge of ReadyCOLLECT collection software for law firms, attorneys, and management companies.
  • A professional with a “can-do” attitude, creative problem-solving ability, and meticulous attention to detail.
  • Exceptional verbal and written communicator with a wide range of people skills, including active listening skills.
  • Ability to quickly absorb and integrate information from multiple sources and demonstrate logical reasoning skills.
  • Able to work independently and collaboratively as a team, sometimes with minimal oversight, in a fast-paced service environment.
  • Fluency in Spanish a plus.

Litigation Paralegal

What you’ll do:

  • Work alongside seasoned attorneys during all phases of the litigation process.
  • Organize documents and coordinate document production. Conduct Bates-stamping, redaction, duplication and indexing of documents. Set up and maintain files chronologically, numerically and/or by subject matter.
  • Conduct various document searches and factual case law research. 
  • Prepare witness and matter materials for case preparation. Organize interview memos, digests and other relevant documents for attorney review and case preparation.
  • Prepare for and assist at depositions. Under attorney supervision, gather and prepare documents, organize exhibits, take notes and handle exhibits during deposition.
  • Prepare for and assist during trials. Organize exhibits, files and all other supporting documents, coordinate trial set-up and logistics, marking documents referred to by counsel, assist in preparation of witness testimony.
  • Pull relevant documents, proofread papers, organize exhibits and create document indices in preparation of motion filing.
  • Work with attorneys in the preparation and filing of all court documents. Organize briefs, exhibits and appendices.
  • eFile documents in local courts and collar counties.
  • File correspondence and/or legal documents in office filing system.

Who you are:

  • Someone with the following education, job experience and technical skills:
    • A Bachelor’s degree unless professional experience level replaces this.
    • A minimum of 5 years in litigation support, preferably in a law firm or other professional services firm.
    • Proficiency with litigation document management and discovery software platforms such as Everlaw, Summation or similar platforms.
    • Experience with litigation research, process and support while demonstrating logical reasoning and critical thinking skills.
    • Competency with professional services and document management software programs required unless commensurate experience replaces this.
    • Proficient in Microsoft Office suite of programs with competency in Word, Excel, Outlook and PowerPoint.
    • Proficient with pdf program functionality, preferably Tungsten Power PDF.
    • Knowledge of all office equipment such as fax machines, scanners, photocopiers and calculators.
  • A collaborative, all-around team player who:
    • Shows outstanding initiative, organizational skills and great attention to detail.
    • Has the ability to communicate effectively in oral and written form with stakeholders at all levels.
    • Can work independently and interactively in a demanding service environment, including willingness to “do what it takes” on demanding litigation matters.
    • Keeps a professional appearance, has a can-do service attitude and maintains discretion above reproach.
    • At times will have to lift (up to 50 lbs.) file boxes and documents.
